2. Subject
These terms govern the purchase of tickets, exhibitor participation and access to the Coimbra Card Show, to be held on May 8 and 9, 2027 at Caves de Coimbra, in Coimbra.
3. Tickets
Types and prices (VAT included at the applicable rate): Early Bird (€5, 1 day, limited to 500 units), Daily (€7.50, 1 day), Weekend (€12.50, both days) and door tickets. Early Access (09:00 entry) is an optional €50 per-day extra, limited to 50 units. A Welcome Kit add-on is €2.50. Under 12s enter free and do not need a ticket; for ages 12-17, the data must be provided by a guardian.
4. Exhibitors
Exhibitor tables are allocated by application. Submitting an application does not guarantee a table. The organizer selects exhibitors at its discretion, aiming for a balanced mix of games, products and stores, and is not obliged to give reasons for its decision. Applications submitted after the closing date join a waitlist.
Daily table €60 plus VAT, weekend table €100 plus VAT, up to five tables per vendor. Each table includes two tickets. The organizer may accept an application with fewer or different tables than requested.
Accepted exhibitors receive a proforma invoice and pay by bank transfer. A table is only confirmed once payment is received; the invoice is issued when payment is received.
Exhibitors must display a visible price on every item offered for sale and issue an invoice at the marked price whenever a buyer requests one. A breach of this commitment entitles the organizer to remove the exhibitor from the event without refund.
Cancellation by the exhibitor: if the exhibitor cancels up to 60 days before the event (by March 9, 2027), the amount paid is refunded in full, with a credit note. For later cancellations no refund is due, unless the organizer reallocates the table to another exhibitor from the waitlist. Exhibitors removed for breaching the event rules or the pricing commitment are not refunded. If the organizer cancels the event or changes its dates, the exhibitor may choose a full refund or to keep the table for the new date.
5. Sponsorships and other opportunities
Sponsorship conditions (Community, Partner and Naming) and other opportunities are agreed on a case by case basis, through a proposal presented after contact. Sponsors from previous editions get 10% off.
6. Payments
Ticket payments are processed by Stripe. A purchase is only considered complete after payment confirmation. After payment, the buyer receives a confirmation email with a QR code and, after data validation, the corresponding invoice. Exhibitor tables are paid by bank transfer, as set out in section 4.
7. Event rules
The organizer may define access, safety and conduct rules. It reserves the right to refuse or withdraw access to anyone who does not comply, with no right to a refund.
8. Image
During the event, images and videos may be captured for promotion. Anyone who does not wish to be filmed or photographed should inform the organization on site.
9. Liability
The organizer is not liable for loss, damage or theft of personal belongings or collections, nor for transactions carried out between participants.
10. Changes to the event
In case of force majeure, the organizer may change dates, location or format, informing participants through the available channels.
11. Applicable law
Portuguese law applies, with the court of the district of Coimbra having jurisdiction, save for any mandatory rule to the contrary.
12. Alternative dispute resolution
In the event of a consumer dispute, consumers may turn to the following alternative consumer dispute resolution entities: Centro de Arbitragem de Conflitos de Consumo da Região de Coimbra (CACRC), www.cacrc.pt; and Centro Nacional de Informação e Arbitragem de Conflitos de Consumo (CNIACC), www.cniacc.pt.
